HTSOS:
All NASA personnel (Civil Servants and contractors), are required to take the HTSOS SATERN course AG-HTSOS if traveling internationally. This is a State Department requirement. Please allocate 5 hours to complete the course.

  1. If traveling overseas, take HTSOS training
    1. Visit https://satern.nasa.gov
    2. Find AG-HTSOS and take online training
  2. Upload certificate to ESPO database, even if previously taken
    1. Login to http://espo.nasa.gov
    2. Click on the Registration link on the left menu
    3. Click on Personal Information and agree to terms and re-enter your password
    4. Scroll to Extra Documentation
    5. For your application, click Choose File and Upload (For your approved Visa, click Add another document)
    6. Be sure to hit Save at the bottom of the page.

Visas:
All NASA personnel, travelling commercially or on NASA aircraft, will apply for an Electronic Travel Authority (ETA) visa, usually this process is done automatically for US passport holders, but due to Australian restrictions in place, it will be done differently. Please note that all attachments must not exceed 5MB.

You will be providing three attachments with each application:
1. The ETA Application Form
2. A scan of your passport biographical information page
3. The ASA's Signed Letter of Support for JAXA and NASA.
4. Answers to the six questions below:

PROCEDURE:
1. Download the ETA Application Form, complete it, and attach it in an email to eta.referrals.otwa@dfat.gov.au
2. In your email, you must also include:
a. An attachment of a scan of the bio information page of your passport. Ensure it is in color and legible.
b. Copy, paste, and answer the following six questions:
1. Have you ever had, or currently have, tuberculosis?
2. Provide details about the purpose of your trip to Australia, including your activities and period of stay.

Purpose is to support the ASA/JAXA/NASA Hayabusa 2 Asteroid Sample Return Project. Activities   include planning and participating in instrument check flights, rehearsal flights and data collection flight expected to occur in Adelaide, South Australia on Dec. 6, 2020

3. Upload your application form and the approved Visa to the ESPO database:

  1. Login to http://espo.nasa.gov
  2. Click on the Registration link on the left menu

  4. Scroll to Extra Documentation
  5. For your application, click Choose File and Upload (For your approved Visa, click Add another document)
  6. Be sure to hit Save at the bottom of the page.

Notes: You may not be permitted to enter Australia unless you are in good health and have no criminal convictions. You can use the letter from the Head of the Agency in support of the visa applications if needed, and you may use my details and the Agency’s address in Adelaide (in the email chain below) for your contact in Australia.

Once you email your application, you will receive an automatic reply.  We have provided compelling reasons for the travel.  Approval visas are taking between 24-96 hours.  Upload your approval visa to the ESPO database.

Civil Servants:
Start the Travel Authorization process via your respective Foreign Travel Offices at your respective Centers.
Contractors:
All NASA contractors traveling on a regular passport (blue passport) must still submit their Advance Notification Form (ANF) to their Foreign Travel Offices at their respective Centers.

Earth Science personnel (code SG). The Request for Travel Exception Form - COVID-19 doc. needs to be reviewed and signed off on the Routing Slip (NF-26) for approval - first.
Once the Travel Exception Form is approved by the Routing Slip by Ames' management, include the Routing Slip in the complete Travel Package when uploading in Jira.
ARC-CTO will not process the Travel Request Package without the approved Routing Slip.
Submitt routing sheet (NF-26), include:
- Travel Exception Form
- Mission Critical Travel (Program or Non-Program + Purpose)
