Thanks for the input. I think it’s a good idea for the convener to suggest the agenda.

I agree with Martin’s suggestion that we will sometimes need to have invited “experts”, and I also agree with Ray’s point that we need to focus on high level discussions and won’t have time to go into technical details. Both of these considerations were behind my earlier suggestion, which seems to have gotten buried a bit, that we need to decide how we’re going to address these more technical/complex issues in the limited time that we have. My proposal is that the steering committee commission papers/presentations from various experts/working groups, which we then respond to. So, with apologies to Martin, my suggestion would be that his excellent idea for a priority issue would be the subject of our first working group, which can hopefully report back urgently (i.e., next meeting), rather than necessarily being on the agenda for today.

I’m sure others will have different ideas, so, since this is our first meeting, I think we should set aside some time to discuss this, and I’m going to add it to the agenda.

To provide a suggestion for how this could work, attached is my report from the website + data archival working group (@Anita Ganesan<mailto:anita.ganesan at bristol.ac.uk>, feel free to edit and re-circulate). Please read before the meeting. We will provide a 2-minute summary and then ask for your feedback and take questions.


  1.  Introductions/set up. Rules of engagement (5 mins, Matt)
  2.  Report from website and data archival task forces (Anita + Matt, 2 mins + 8 mins discussion). See attached.
  3.  How should the steering committee operate most efficiently (20 minutes, All)? Suggestions for first priority areas (+ working group leads?):

     *   Software sustainability + support (Martin)
     *   Plan for construction and testing of Medusa traps (Simon)
     *   Protocol for early data release (if we think it’ll need more time than Item 4, Simon)
     *   Suggestions?

  1.  Protocols for early release of data (10 minutes, Simon)
  2.  Scheduling next meeting + convener (5 mins, Reem + Matt)
  3.  AOB (5 mins)

Thanks for the input! Would you all be ok with the convener setting each month’s meeting agenda based on all the topics sent to me? I just listed these in the order I received them, but priorities will undoubtedly be different. If so, Matt can send me a prioritized list when he gets a chance, based on Anita’s list below and additional input from Ray (discussion of SC purview, for example).

That sounds good to me. Ideally the agenda items requiring input would be known 2 weeks in advance?

I was also going to suggest keeping the agenda to 3 items per month so that a) we do not just rush through and b) we limit the meeting to 1 hour for those attending at odd times (I for one will go to bed at 10pm!)

Based on Martin’s comment, could this month’s meeting be (leaving 10 mins for transitions):


  1.  Opening (5 mins) Matt as chair?
  2.  How to deal with requests for early release of AGAGE data (Simon) (15 mins)
  3.  AGAGE website migration and data archival (Anita/Matt) (10 mins)

Hi all,
What do you think about the idea of having 'invites' for selected topics? These would be experts who's involvement and expertise is crucial in the discussions and plans. For example, it sounds bizarre to me to talk about Markes without the involvement of Dickon, so my suggestion would have been to invite him for Agenda item 1.
In a similar matter, I don't think it makes sense to talk about traps in the absence of myself and Dickon. I suggest to move that to the next meeting.
When I look at the agenda, I wouldn't see the need for any other invites (except for perhaps Peter on item 5, new format of archived data).
