A draft agenda will be posted by early March. We anticipate concluding the meeting by 1pm on Thursday April 28. There will be a BAMS discussion Thursday afternoon following the science team meeting.
Registration
To register for the meeting please complete the form at this link. Advance registration is required for badging and guest Wi-Fi access. Note the following deadlines:
- February 28: In person registration with request for travel funding
- March 13: All in person registration (to allow time for badging paperwork)
- April 15: Final deadline to register for online attendance
Hotel reservations - please book early!
The following hotels are offering a group rate of $110 plus tax (per diem). The rate is based on availability with the group room block; the room block cut-off date is Friday, March 27, 2026. Please click the preferred link below to make reservations:
- Embassy Suites by Hilton, 1700 Coliseum Drive, Hampton, VA 93666. This hotel requires 48-hour notice for individual cancellation.
- Elements Hampton Peninsula Town Center, 1851 Merchant Lane, Hampton, VA 23666. This hotel requires 72-hour notice for individual cancellation.
The hotels will charge on night's room and tax for no shows, late cancellations and early checkout.
Travel
Funded university and private-institution teams will be supported through the RSES/AMA contract. Registration is required to initiate the authorization process. You will receive an email with instructions on how to proceed, however you may reserve your hotel room now.
By air, travel to Norfolk International Airport (ORF), approximately 22 miles from LaRC; Newport News Williamsburg Airport (PHF), served by American Airlines, approximately 11 miles from LaRC; or Richmond International Airport (RIC), approximately 70 miles from LaRC.
Amtrak offers train service to Newport News (NPN) from destinations including Washington, DC. The train station, at 500B Bland Boulevard, Newport News, VA 23602, is approximately 11 miles from LaRC. Information about taxi and ride share options (including Lyft and Uber) from Norfolk International Airport is available here: https://www.norfolkairport.com/ground-transportation/. Travelers can book transfers in advance on zTrip (included in taxi section above) either directly or through the Super Shuttle app or website. Orange Peel Transportation also provides Norfolk area transfers.
If traveling between LaRC and Norfolk International Airport during rush hours allow plenty of extra time for bridge/tunnel congestion.
LaRC Guest Wi-Fi
Anyone who registers for the meeting without using a NASA email address will be sent email about Guest Wi-Fi. Please check your email for instructions from ‘Identity.Manager’. It is critical to follow all instructions and set up a password before your visit to Langley to use the Guest Wi-Fi. If you do not set up a password prior to your visit, it is extremely difficult to get connected.
- When you arrive on Center, you will select ‘NASA-Connect’ from the Wi-Fi choices.
- Scroll down and click ‘Agency User ID’; enter your email address.
- Enter your password when prompted.
