Here is information for the Whatsapp group that will make communication during the Webex easy among the organizing committee.  ESPO (me, Judy and Lynn) are already on the group.  Please join and forward this email only to others that will be moderators for any session.

Here is information on WhatsApp which would be great for easy group chat outside of Webex during the meeting.


It is recommended for meeting committee members and any session moderators.  Joining this Webex group is optional but highly recommended.  Chatting through Webex to a group isn’t possible.


During the meeting, I set up my computer desktop with Webex on one side and have WhatsApp in a browser next to it.  The Attendees Panel floats so I can see raised hands and mute/unmute.  Note: If you are presenting, you won’t see WhatsApp but you can float the chat window.



There are 4 steps to get WhatsApp and join the group.  3 steps to get it on a browser.



If you have not used WhatsApp before, it is a smartphone-based application, platform independent so it works between Androids and iPhones.  It has a desktop application for Windows and Macs.  It allows texting, phone calls, voice message, file transfer, picture/video transfer all using data (as opposed to a SMS text over a cellular plan).  It is widely used around the world to avoid international SMS texting fees or to be able to call home easily if the recipient has the app too.  We use WhatsApp on our NASA ESPO-managed missions for group communications.  It doesn’t cost anything and transmissions are encrypted.



I have an iPhone so instructions may not be the same for Android phones. 1.       Download WhatsApp on your smartphone (iPhone or Android).

2.       Create and account and verify your phone number

3.       Then you can join the group called Virtual Meeting Chat with one of these 3 options

4.      Once you join the group, please chat something like “Hi” so we can see what Name is attached to the phone number.

2.       Follow instructions – a QR code appears on the website.  Open WhatsApp on your phone, tap on on Settings (at the bottom), tap on WhatsApp Web/Desktop and hold the phone up to your computer so it can see the QR code.  It should log you in.

3.       Click on the group channel Virtual Meeting Chat and resize the window so it is next to the Webex window.

Tips:

1.       To mute the phone app, tap on Chat, tap on the row for the group you want to mute. Either slide the bar slightly to the left and tap … More and then Mute and select how long. Or tap on the row for the group, then click on the top line where the title is so see all the options.  Tap on the Mute row and select how long.

2.       Any photos people post to the group will show up in your photo library unless you change settings for “Save to Camera Roll” to never.
