The UAS Workshop is coming up next week, March 9-11.
You are receiving this email as you have volunteered to be one of our breakout room moderators or note takers. We appreciate your participation.
Breakout Room Times:
1. See below the planned start time for breakout room and the Moderator and Note Taker for each
2. Breakout room discussions are often quite lively and go past the allocated time. Past meetings have had the sessions extended by 30-60 minutes. If your breakout room goes over and you are not able to stay, please find another moderator/note taker.

1. Operating the Breakout Room:
* We have over 400 interested people in attending the workshop and hope they stay to the end of the day for the exciting breakout room discussions. We anticipate about 20 attendees per room. If by chance your breakout room topic does not garner enough interest, you may leave the room and join another. As a moderator/note taker, please save the chat before leaving the room if there are any good questions/answers/comments worth saving/sharing. To save the chat using the desktop version of Webex:
i. Click File in the menu bar
ii. Click Save As
iii. Select Chat and choose the name and location for the file because selecting Save instead of Save As may store the file on your computer root directory or save on top of another file called Chat.txt with no opportunity to rename the file
* Please provide a brief explanation of rules for the room:
i. Everyone should stay muted when not speaking
ii. Raise hands to ask and address questions
iii. Allow everyone to express their opinions
iv. Use the “3 then me’ rule – let 3 people speak before speaking again
1. Recording Ideas:
* Attached are Word templates that can be used by the note taker to share on screen and record salient points. Please use the Science template on the 9th and Technology on the 10th.
* The main meeting will be recorded but there is not a built in way for Webex to record breakout rooms. It is imperative to capture what happens in the breakout rooms and share a summary the next day in the plenary session. We have announced the workshop is recorded so you may record audio with your own device (smart phone/Quicktime audio) for your reference if you like.
2. Share Summary:
* The day after your breakout room, there are 25 minutes for all breakout moderators/note takers to present which allows for ~2 minutes each for a quick summary.
