I realized after sending that email that there might be a specific way that I have to go about getting Box for NASA/non-NASA users. Is there a link for NASA approved vendors that I should go through and they will have an account management? Do you recommend anything else besides Box?

Katie, you were able to work in Ruben's shared google doc because you have a NASA Google account. Most people at NASA do not pay the extra fee for the NASA google drive. So, they will have to use their personal (if they have one) google account, hence forcing them to be non-compliant.

HI Marilyn,

Thank you for your input. Do you know why NASA folks won’t be able to use Ruben’s? He sent me an invite and I’ve been able to work in that system that he set up. Is it a NASA restriction? If so that would be understandable.

Box could be a good alternative, thanks for bringing it up at the meeting today.

I brought this up at the WebDev and the team had this feedback.

  1.  Ruben’s Google Drive will not be one that NASA people can use.
  2.  The NASA Google Drive will be problematic for non-NASA and most NASA people haven’t paid for Google Suite.
  3.  Best option would be Box.  Dan says there is a version that allows you to include people from outside NASA.  You will have to create accounts for each person and it is a bit of a pain to sign up but, for a 5 year project,

it seems worth it.

Ultimately my experience sharing our ESPO Google Drive with IMPACTS has not been smooth. I would rather push back on Gatebe’s request for us to set up a Google Drive because most SaSa leadership do not have a NASA email which makes it tough for collaboration. The goal and purpose of a Google Drive is ease of collaboration and ability to restructure files. Please see my responses below:

  1.  Looks like Ruben set up a drive.  Why do you want us to provide another?  Is this one Ruben created not password protected? I asked Gatebe if we could use the one Ruben set up and his response was, “On the shared drive, I thought ESPO was going to setup a secure drive for the SaSa project. The universities are free to setup their own shared drives.” Each university setting up their own drive will add a lot of confusion as to ownership and where certain files live. I do not like this approach from a PM standpoint. We need consistency and order.
  2.  I assume you’ll be using MTS, is the file sharing it provides something you can use? I am not familiar with sharing files via MTS so I can’t answer this question.
  3.  Our homepages have a “shared files” section.  Would that work? A Drive is different from the ESPO site “shared files”. In my mind, Google Drive allows for collaboration on documents and a filing system that can be easily edited. Unfortunately our ESPO site is a bit clunky and it is not easy to change file structures, it is a more static system. The idea behind a Google Drive is ease of usability and collaboration among multiple universities. My hope is to push back on Gatebe and utilize Ruben’s Google Drive. It is set up in a way that is less restrictive (from what I’ve experienced before unless its changed) than our ESPO Google Drive which require NASA email addresses. That being said, I can push back and say unfortunately our ESPO system won’t work as well as Ruben’s, let’s just use his since he already set it up.

Are you ok with that approach? We can jump on a call if that would be easier.

Gatebe requested that ESPO provide a secure Database for SaSa leadership to store Google Drive info, much like our ESPO Google Drive. I know in the past it’s been difficult for IMPACTS leadership to access our drive as folks without a NASA email find it difficult to navigate and don’t have the same capabilities. Is that still an issue? If not, are we able to provide a space to store the SaSa files/folders?

Thanks so much for your note. I know it feels like a quiet week, but it has been a fairly busy week and I got a lot done for SaSa …

Lin Chambers and I met yesterday /one-on-one PI meeting.  This was a follow-up to the Feb. 24thSciAct Monthly Meeting discussion, where HQ is looking for a direct feedback on how things are going with SciAct 2.0.

Specifically, Lin and Kristin are looking for ideas /suggestions for things the group/SciAct 2.0 can do during the second hour of the SciAct Monthly Meetings. So if anyone has suggestions, please let me know.

Also, Lin mentioned that SaSa has the closest connection to the MSIs/HBCUs than any other project that NASA is currently supporting, and everyone is looking forward to lessons from us on how to engage with MSIs/HBCUs.  So we are occupying a very special place …

Also, I had a budget discussions meeting yesterday with both Lin and Barry –fighting for more $$.  Things are going well …

On the shared drive, I thought ESPO was going to setup a secure drive for the SaSa project. The universities are free to setup their own shared drives.
